Event Communications Form

This form provides the communications team with event information we and you need for:

  • Website content (e.g. event description, registration form (if needed), and graphics)
  • Star-Lite article text: Star-LIte is distributed to the congregation and an expanded list of interested community members
  • CBE Social Media sites:  Facebook & Instagram
  • External media by event organizer: On an exception basis, the Communications team can provide assistance to submit posts.  Jewishboston.com and Action Unlimited (Instructions can be found here.   
We expect this form to be submitted about 5 weeks or more prior to the event (s) so it can be communicated in a timely fashion.  If some information is not available when you submit this form or there are changes to the event after you submit this form, please send an email to communications@bethelohim.org and we will make the relevant changes.  

 If your event is not yet on the calendar, please submit the Event Request Form to get approval and have it added before submitting this form.

Submit this form per one event (whether a one-time event or a recurring event) OR per a multiple-event program for which you want all events communicated together (e.g. Scholar-in-Residence Weekend, Welcome Back Weekend, High Holidays, Chanukah programming, etc.).

If an event is part of a multiple-event program, but not all events are ready to communicate, select one event.  Later, when you submit the remaining event(s), you can provide the multi-event program text.

Event-Specific Information

Event-Specific Information for each event in your Multiple-Event Program

Enter the event-specific information for the first event and then you will be prompted to click on the PLUS sign, below, to enter event-specific information for each of the events in the program.

Indicate the date(s) and start and end time(s) for the event.
Here are some possible topics you want to cover here:
  • Is this a simple registration form and you only need to know how many/ who is coming to the event? 
  • Do you need to know if attendees are joining in person or via Zoom?
  • Do you require a food sign-up, volunteer sign-up, etc.? 
  • Do you need to limit the number of attendees?
  • What are choices you need attendees or those ordering to specify, if any?  
  • Is this an order form and you need to know what quantity of various choices people want to purchase?
  • Indicate the deadline for sign-up if there is one. And do you actually want the form turned off at that deadline or can it remain open for the few that sign up after the deadline?
  • Do you want event contact names listed above to receive an email every time the form is submitted or will you click on the event link and "view submissions".  If you expect a lot of submissions, it is best to NOT receive the many email notifications.

One Event or Multiple-Event Program Description for Star-Lite and Website

 If this is a multiple-event program, you are submitting content to communicate the full program together, including a description of each event.

Event Description
In the event description, you want to include "the 5 Ws" (who, what, when, where, why). The event date and start time, the programming, who will be presenting or special guests attending, topics for discussion, if it is intended for a certain age group or families, if there is a fee for attending or if there is a limit to the number of people that can sign up.  Is there a sign-up deadline or can people sign up until the event time? 

If you can collect brief bios, or links to bios and/or interesting online content (including videos) about presenters, all the better.  

Uploading Files
You will have the option to upload files - photos or images, flyers, etc.  Photos or images are needed for the website, but flyers will not be used on the website.  You may create a flyer for posting at CBE or you may provide that here for Star-Lite content.  No extra effort should be made to create one for the Communications team's use.

The files may be photos or other images that we will use for the communication of your event.   You can upload multiple files by clicking below.

Photos or images should be high resolution and you must have permission to use them.  Do not submit images obtained by Google search unless they are labeled for reuse or you have permission from the speaker.

Reminders:  Post Event Media for Website and Star-Lite

Posting photos, videos and event descriptions in Star-Lite and the website allow those that did not attend to view the event and show prospective members, reviewing our website, the type of programming that we offer.

Event Photos:  After some events, we will want to post photos in Star-Lite and/or the website Photo & Video Gallery page.  Have you assigned someone to take photos at the event?  You can check with Rick Green to see if he plans to attend and take photos.

Video Recording:  Do you want a recording of the event to be posted on the website Photo & Video Gallery page and shared in Star-Lite?  If yes, if on Zoom, tell the Zoom Host to record or, if in person only, assign someone to video all or part of the event.

Post Event Star-Lite Article: You may want to submit a post event article to Star-Lite talking about the success of your event.  It could include the above event photos and/or video recordings, indicate the number of people in attendance, thanking the volunteers, etc.  Let people know what they missed so that they join in next time or let people reflect on the good time they had or good deeds they did!  You can email this article to communications@bethelohim.org, indicating how many issues you want to include this article.
